There is no single ‘best’ MTD software
It is tempting to look for one winner, but the honest answer is that the best MTD software is the one that fits your income sources, your budget and the way you already work. A landlord with two flats has very different needs from a VAT-registered trader with staff. This guide is deliberately vendor-neutral — we do not take commissions from software companies — so what follows is how to choose well, not a ranked list of brands.
First rule: it must be HMRC-recognised
Whatever you choose, it must appear on HMRC’s list of software recognised for MTD. Recognised products meet the technical standards for digital record-keepingand can submit directly to HMRC through its API. A tool that cannot connect to HMRC — however good its bookkeeping — will not let you file. Always verify a product’s status on HMRC’s current list before you pay for it, because availability changes as products are certified.
Features that actually matter
Beyond compatibility, the features that make a real difference day to day are:
- Bank feeds — transactions pulled in automatically so you are not typing them;
- Mobile receipt capture — photograph a receipt and have it categorised;
- Automatic categorisation — rules that sort routine income and costs;
- Support for your income types — multiple trades, UK and foreign property, VAT;
- One-click quarterly updates — and a clear final-declaration process;
- Accountant access — so an adviser can review or file without emailing spreadsheets.
Ease of use matters more than a long feature list. The software you will actually keep up to date beats the powerful one you avoid opening.
Choosing by who you are
Sole traders usually want invoicing, expense tracking, a mileage log and bank feeds in one simple tool. Landlords need property-specific categories, the ability to handle joint-ownership splits, and correct treatment of mortgage finance costs so the tax reducer is applied properly rather than as an expense. VAT-registered businesses already on MTD for VAT can often extend the same package to cover Income Tax once it applies, keeping everything in one place.
Spreadsheets and bridging software
If you prefer spreadsheets, you are not shut out. A spreadsheet linked to bridging software can meet the rules, provided there is a digital link from your figures to what is submitted — no copying totals across by hand. This can be a cost-effective route for straightforward affairs, though most people find a dedicated app less effort once quarterly filing becomes routine.
