Who we are
Digital Tax Service ("we", "us", "our") is the data controller for personal data collected through digital-tax-service.co.uk. You can contact us at hello@digital-tax-service.co.uk.
What we collect
Information you give us. When you complete the MTD eligibility check or contact form we collect the details you provide — typically your name, email address, optional phone number, business type, turnover band and any message content.
Technical information. Our hosting provider automatically logs basic technical data (IP address, browser type, pages requested, timestamps) for security and reliability. With your consent we may also collect aggregated, anonymised analytics — see our Cookie Policy.
Why we use it (lawful basis)
To respond to enquiries and provide eligibility results — legal basis: legitimate interests and, where applicable, performance of a contract or steps prior to entering one.
To send service-related communications (such as your eligibility result or follow-up to your enquiry) — legal basis: legitimate interests.
To improve the site using analytics — legal basis: consent.
To meet legal and security obligations, including fraud prevention and record-keeping — legal basis: legal obligation and legitimate interests.
Sharing
We do not sell your personal data. We share it only with trusted processors who help us operate the service — for example our hosting provider, database provider and transactional email provider — under written contracts that require them to protect your data and use it only as instructed. We may disclose information where required by law.
International transfers
Some of our processors may store data outside the UK. Where they do, we rely on UK adequacy regulations or appropriate safeguards (such as the UK International Data Transfer Agreement or Addendum to the EU Standard Contractual Clauses).
How long we keep it
Eligibility check submissions and contact enquiries are kept for up to 24 months from your last interaction, then deleted or anonymised. Server logs are retained for up to 90 days. We may keep records longer where required for legal, accounting or dispute-resolution purposes.
Your rights
Under UK GDPR you have the right to access, rectify, erase, restrict, port and object to our processing of your personal data, and to withdraw consent at any time where we rely on consent. To exercise any right, email hello@digital-tax-service.co.uk. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk.
Security
We use industry-standard technical and organisational measures to protect your data, including encryption in transit (HTTPS), encryption at rest for our database, access controls and least-privilege practices. No system can be guaranteed completely secure; please do not send sensitive information by email.
Changes
We may update this policy from time to time. The "Last updated" date above shows when it was last revised. Material changes will be highlighted on the site.
